We are continuing to update our Guide to the Conference page as we receive questions so we can provide the best support possible in this new online learning and event journey.

Event Access FAQ's

How do I access the Conference?

When the Conference platform is launched ahead of the Conference dates, you will receive an invitation with this link https://event.crowdcompass.com/mscca2020 as the ‘Log In’ to join the Conference platform once it has been launched. This is your opportunity to become familiar with the platform ahead of the Conference. You may use the same link to join the actual Conference, but don’t worry we will send you more reminders with the link included again.

The Conference link will bring you to a Welcome page. Click ‘Log in’. Enter your name the same as you registered for the Conference and the email that you registered for the Conference. If you are not sure which email address you used to register with, it is the one you have been receiving Conference communications on.

Once your name and email are validated, you will almost immediately receive a text and/or email from ‘CrowdCompass’ (support@crowdcompassmail.com) with a verification code. Enter the verification code and click ‘Verify’. You will be immediately admitted to the event.

I did not receive a verification code. How do I get into the Conference?

Once you request a verification code, it will be sent via text and/or email, so be sure to check both. This process usually takes less than 30 seconds. If you still haven’t received your verification code, you may not have registered for the Conference with the email you entered. Click ‘Try logging in again’ on the verification code page. Enter a different email address. If you still do not receive a verification code in the Inbox to any of the email addresses you entered, please email msccahelp@cei-yep.com.

Why didn’t I didn’t receive an email to access the Conference platform?

If you are a fully registered attendee, you would have received emails about the conference, as well as an email with the Log In to the Conference platform once it was launched. If you did not receive this communication to your email address that you used to register for the conference, use the link above to access the conference platform or email info@mscca.org with your information so we can verify your registration and re-send you the communication you need.

Is there a Mobile App for this Conference?

Yes. The Conference is available to you via desktop/laptop, mobile device, as well as tablet.

Downloading and Logging In to the Mobile App

Downloading: When you receive the email the Conference platform has gone live, access the App Store on iOS devices or the Google Play Store on Android. Search for the ‘CrowdCompass Attendee Hub’ app. Tap ‘Get’, ‘Install’, or the cloud icon to download the app. Then tap ‘Open’. In the app, use the search bar to find this conference by typing ‘Mscca virtual’ then ‘Search’. The MSCCA Virtual Conference 2020 app should appear. Tap the conference name. Tap ‘Download’. Here is a video showing this process.

Logging in: Once the app has downloaded, tap ‘Log In’. Enter your name the same as you registered for the Conference and the email that you registered for the Conference. If you are not sure which email address you used to register with, it is the one you have been receiving Conference communications on, like this one. Tap ‘Next’.

Once your name and email are validated, you will almost immediately receive a text and/or email from ‘CrowdCompass’ (support@crowdcompassmail.com) with a verification code. Enter the verification code and click ‘Verify’. You will be immediately admitted to the event. The Mobile App is comprehensive, interactive, and easy to use!

Why did I get logged out of the conference?

For privacy reasons, your login only stays valid for 72 hours. You will also be logged out after 24 hours of inactivity. You will need to request a verification code once expired. If for any reason you are having difficulty logging back in, please email msccahelp@cei-yep.com.

Can I share links to the Conference platform?

Non-registered users will not be able to access the Conference platform. Each registered user must use a device that is unique to them alone to participate in the Conference as well as pair their login with the email address they used to register for the Conference. The verification code sent to your email or phone will only work for you.

How do I ensure the best experience?

Just like any livestream, there are things you can do to ensure best viewing experience. Make sure you have a strong internet connection. It also helps to close non-essential tabs in your browser. Also consider these ideas:

-Check your physical modem connections to ensure they are seated properly (even unplug and plug back in).
-Free your router – it needs to breathe to be effective (up high, out in open, middle house); optimally, be close to it, but no closer than 5’ away.

-Whenever able when within range, connect to your 5MB option instead of 2.4MB if you have it.

-Try using hard wire for your laptop if available, instead of using wireless.

-Remove all non-essential devices from wifi (e.g. phones, Googlehome, Nest thermostat, security system, video game platforms, intelligent lighting, Alexa, smart watches, smart tv’s) as they compete for your home’s wifi bandwidth.

-If you do experience buffering or video freezes, try reloading the session page before contacting msccahelp@cei-yep.com for further support.

When I leave the session, I can no longer hear the speaker.

Your session experience is designed to be immersive. Just like an in-person session, if you leave the room you can’t hear the speaker! If you navigate to another page, your session will stop. Simply click back into the session to return to the livestream.

I received a Confirmation Code when I registered for the conference. Do I need that code for this conference?

No. Keep the confirmation code as proof of your conference registration. You will not need the confirmation code to log into the conference platform.

This Conference is designed to mirror our customary in-person conference and attendance at the scheduled sessions is expected. However, we understand attendance may be challenging to the Friday Breakout sessions so these will be live as scheduled, and will also be made available on-demand within each session profile via a link.

Recordings of the Friday Breakout sessions will be made available on-demand. Click ‘My Schedule’, select and open a Friday Breakout session you missed, scroll down and the recorded session will be available via a link in the session profile. You must view the recording in full anytime up to 12:45 PM Sunday Sept 27. Remember to click on the survey assessment in the session profile and complete the standard assessment questions. You are then required to log in at 1:00 PM on Sunday Sept 27 and answer an additional assessment question. This is specific to individuals which were not able to attend one or more live sessions on Friday. The additional survey assessment question must be completed by Sunday Sept 27 at 2:00 PM.

MSCCA VIRTUAL INTEGRITY PLEDGE & VIRTUAL ATTENDANCE CRITERIA

Given that this is our first Virtual Conference, Maryland State Child Care Association, (MSCCA) has made every effort to ensure that the MSCCA Virtual Conference 2020 continues to be both educational and entertaining. But most importantly MSCCA is dedicated to delivering the highest quality training for all participants. Our virtual platform will require some additional considerations to ensure that participants get the most from their training experience and meet all the qualifying criteria for online training credit developed by the Maryland State Department of Education (MSDE).

INTEGRITY PLEDGE

I pledge to uphold the integrity of the training which MSCCA is offering to participants.

I will be prepared for my sessions.

I will download the CrowdCompass App and update my profile.

I will locate the sessions which I have selected and learn if there are any handouts or materials needed for those sessions.

If I am uncertain as to what I need for the workshop, I will reach out to the trainer or host.

I understand it is my individual responsibility to be prepared to take notes and have any workshop materials including handouts at the beginning of the class.

I will minimize external distractions to maximize my ability to gain from these sessions.

 Consider pets, children, and other adults.

 I will silence my phone, music, and TV.

 I will be an active participant in the workshop/session.

 I will know how to “raise my hand” and ask a question during a virtual training.

 I will post comments and questions in the chat box.

 I will write on the virtual whiteboard or respond to a poll.

 I will ask for clarification if the content is unclear.

 I will ask the trainer to repeat or explain if I am unable to hear clearly or there is a bad connection.

 I will engage with your peers during breaks using the social chat wall.

 I will find ways to connect with the trainer so they will know I am an active participant.

I will learn how to contact MSCCA or the presenter before and after the workshop in case of any challenges or questions.

 I will not share my password.

10 Tips for attending a virtual conference

Learn how to use the tool

Your virtual conference will be hosted online, via a tool you may or may not have used before. To make the most of your time ‘onsite,’ take an hour or two before the conference begins to play around in the conference platform. Find out how to access sessions, check your audio, and work out any glitches. If there’s a tutorial about how to get the most out of the conference, watch it! Your experience is in your control.

Blocking off your calendar

Work never stops, but when you’re attending a virtual conference it should take a backseat – even if only for an hour or two at a time. After all, you chose to attend a virtual conference because you saw value in the speakers, educational sessions, and networking opportunities, so don’t throw away the time you have to learn and grow! Make sure your co-workers know when you’ll be busy and make an effort not to check email while you’re in sessions.

Schedule your time based on live and on-demand

Virtual conferences come with a variety of content – some that have to be viewed in real-time and some that can be watched on-demand. Pay attention to which session has to be watched live and which are adjustable based on your needs. Consider adding the sessions to your own calendar with reminders set, and including ‘live’ or ‘on-demand’ to the appointments.

Keep your family in the loop

This work from home life means that most of us are never truly alone. Our spouses, our kids, and our pets are only a room away at all times, and all demand a certain amount of your attention. Work out a schedule for your participation in the conference to help separate work time and family time to ensure everyone knows your schedule.

Build in snack and meal breaks

One thing you don’t want during a day or week of high-intensity learning is to have “hanger” get in the way. Even if you’ve never meal prepped before, this is a great time to start! Plan out your breakfast, lunch, and snacks. Even figure out your coffee breaks! While an in-person event would have built-in breaks with coffee set up in the hallways and snacks appearing as if by magic, your virtual conference F&B is your responsibility. For a fun treat, consider getting a coffee delivered during a break to keep you caffeinated.

Go old school

Take notes on paper! To focus more, keep your attention on the screen, but your fingers off of the mouse and keyboard. Rather than flipping between a notes doc and the conference, where it might be easy to get lost and end up on Instagram or Reddit, keep the screen dedicated to sessions. This means full screen! To network and communicate with attendees, answer live polls, and more, use the mobile event app, keeping your computer free for viewing.

Attend with others

Conferences are better when you attend them with friends. Any coworkers attending the same virtual conference? Make plans to catch up and discuss keynote sessions after the fact or message them throughout about points you found interesting. This interaction can keep you engaged with the content.

Stand and stretch

Don’t feel confined to your chair. Build in breaks in between sessions to take a short walk or stand and stretch. If you’re on a session that hits in the middle of the afternoon, don’t be afraid to stand. Activity, even something as small as standing or walking in place, can wake you up and get you refocused on the content at hand.

Set up appointments and network

Virtual conferences aren’t just for learning – they’re for connecting! Networking is alive and well, even at a distance. Set up your own 1:1 appointments before or during the event with colleagues and make new connections. Attend a conference Meet & Greet session, and build your network by reaching out to others within the conference platform during the fun, non-training sessions.

Ask for help

Be sure to read the FAQ documents available to you. Reach out to the designated contacts for any help you need along the way. Chances are there is a quick fix! If you are having technical trouble and need help troubleshooting, email msccahelp@cei-yep.com with your issue and someone from our technical staff will get with you right away. If you have any other general questions about the conference, please email info@mscca.org.

MSDE Training Voucher: If you are selecting the MSDE Training Voucher as your payment method, please note that per MSDE rules, a voucher will ONLY be awarded for the full amount of the approved conference or pre-service training as long as the request does not exceed $400.00. If you are not a MSCCA member, the easiest solution is to sign up for MSCCA membership TODAY.

In addition to training and other discounts, MSCCA Membership includes professional advocacy and grant opportunities that are only available to members.

There are two membership options:

  • Individual Members save $100 ($365 vs. $465) on their registration cost for CBTS 2020 in addition to getting a 10% discount for Maryland EXCELS published programs at any level. NOTE:  Individual Membership is not available to individuals employed in the child care industry, only parents and other interested persons.
  • Center Membership covers all staff working in the program and conveys a Professional Activity Unit for all staff, no matter the Center’s size. If five (5) or more Program staff members register to attend CBTS 2020, each member of the team qualifies for the Group rate of only $315.

After you complete your membership application and submit payment, email a copy of your membership confirmation to msccaconferencebythesea@gmail.com with a request to modify your registration type to MSCCA Member: Individual (a $100 savings) or Member: Group (a $150 savings) as appropriate.

If a provider/registrant does not have enough funds to cover the full amount or if the request exceeds $400, a voucher will not be approved. However, there is the option to pay for the registration fee out-of-pocket and submit an application for training reimbursement upon successful completion.  As long as funds are still available, the remaining balance will be reimbursed.

MSDE’s Credentialing Branch has been working to assign the new date in their computer system, and they have been unable to extend your training voucher past the current 6-month expiration date of issuance. Training vouchers issued for the MSCCA conference will be voided. If you received a training voucher for the MSCCA conference, please discard it. The MSCCA conference has been rescheduled to September 24-27, 2020. You must submit a new Application for Training Voucher to attend the MSCCA conference. MSDE is working with MSCCA and has recommended that participants begin reapplying for the Conference by the Sea anytime after April 1, 2020.

July 31 is the deadline to submit training vouchers to MSDE Credentialing Branch for Conference by the Sea 2020. Remember, if eligible, you may also choose to apply for the training reimbursement voucher!

The name listed on the MSDE/OCC Training Voucher and the online registration name must be identical. You can submit a request for reimbursement up to $400 after the conference (up to 180 days) with proof of completion of training and payment. The Program may assume the payment obligation for MSCCA registration fees should the Voucher request for payment be denied by MSDE/OCC or the individual attending will need to provide another form of payment. You will be notified that your registration is approved when the voucher payment is received.

MSDE Voucher Approval Code CWO-158225

Exhibitors:  Partners and businesses that serve the early childhood education industry are invited to sponsor a table in the exhibit area and network with attendees during meals and receptions.  Event exhibitors and sponsors will receive prominent mention in the conference program, signage at the event, and will be introduced at the membership with a pre-function announcement.
